Job Description

We are seeking a highly organized and versatile Project Coordinator to join our technology team. This role is a unique blend of executive assistance and project management, designed to support our technology initiatives and ensure seamless operations. The ideal candidate will be proactive, detail-oriented, and capable of managing multiple tasks and projects simultaneously.

Key Responsibilities:

Project Coordination & Management

• Develop and maintain simple project plans, identifying key milestones, owners, and deadlines.
• Track project progress, ensuring timely execution of tasks and follow-ups.
• Identify and escalate roadblocks, delays, or risks, working with stakeholders to resolve issues.
• Maintain project action tracking, ensuring critical items are assigned and completed.
• Facilitate status updates and coordination meetings to align teams on the next steps.
• Facilitate requests from departments to subsidiaries to keep projects moving.
• Ensure cross-functional visibility into ongoing initiatives.

Administrative Support (Procurement & Vendor Management)

• Facilitate quotes and purchase orders with vendors such as AK IIT, Verizon, Dell, and others.
• Track quotes, purchase orders, and invoices, ensuring timely approvals and payments.
• Coordinate deliveries and receiving across locations, providing status updates to the Synergos and AK International IT teams.
• Manage technology vendor accounts, ensuring organized contract records, renewal timelines, and documentation.

Commitment & Action Tracking

• Track commitments made in meetings and discussions, ensuring no action items are lost or forgotten.
• Maintain a structured commitment tracking system, linking project-based actions to workload capacity.
• Help teams assess their ability to take on new commitments based on current workloads.
• Parse meeting transcriptions and notes for action items and follow-ups.

Qualifications:

• Bachelor's degree in Business Administration, Information Technology, or a related field.
• Proven experience in project management, preferably in a technology environment.
• Strong organizational and multitasking skills.
• Excellent communication and interpersonal skills.
• Proficiency in project management software and tools.
• Ability to work independently and as part of a team.

Preferred Qualifications:

• PMP or other relevant project management certification.
• Experience with vendor management and accounts payable processes.
• Familiarity with IT systems and portals.
