Job Description

A Manhattan-based wellness technology firm is seeking an Administrative Assistant to support a team of executives. Must have 3+ years of experience within a professional office setting and be incredibly detail oriented. This is a contract opportunity with the potential to go permanent. Experience with G-Suite is a plus!

Hours: 9am - 6pm

Onsite Monday - Friday

Hourly pay rate: $30 - $35/hr

Responsibilities:

  • Manage calendars for executive leadership team
  • Organize meetings, travel, conferences and department events
  • Sort and distribute mail for the executives
  • Draft communications and respond to regularly occurring requests for information
  • Schedule virtual and in-person meetings, and help set up conferences and events
  • Meet and greet guests and escort them to the appropriate meeting rooms
  • Build and foster relationships with executives, teammates, and internal/external stakeholders
  • Prepares meeting invites, meeting agendas, and meeting minutes
  • Coordinate travel and creative travel agendas and itineraries
  • Review incoming communication and prioritize and summarize content

Requirements:

  • 3+ years of experience in an administrative role
  • Experience with G-Suite is preferred
  • Independent self-starter and driven, with the ability to multitask
  • Able to handle confidential information with complete discretion
  • Critical thinker with excellent judgment and ability to provide solutions independently
  • Excellent communicator with team and executives
  • Flexible attitude with the ability to work in a fast-paced environment and multi-task/prioritize
